Responsibilities

Sayres is looking for a Payroll Administrator to handle payroll for approximately 335 employees. This position will report to the Corporate Finance team, located in Washington, DC, and handle all payroll responsibilities for the company and act as our lead interface with ADP using ADP Workforce Now.  This position requires a very close working relationship with our Human Resources department and will directly interface with employees, and the Finance and Corporate Management teams. This is an entry level position in which we are willing to train on accounting and payroll systems. Below are the responsibilities for this position:

  1. Process bi-weekly payroll for the company.
  2. Import all time tickets (timesheets), via Deltek Time and Expense Version 10, into the Deltek Costpoint Version 7 accounting system.
  3. Export all payroll information (hours & gross amounts) to ADP Workforce Now.
  4. Calculate and update all deductions - medical, dental, vision, 401(k), etc.
  5. Conduct payroll analysis for each employee prior to payroll submittal to validate calculations.
  6. Work closely with the Accounting Manager on the transfer of funds from Sayres' bank to the ADP bank account.
  7. Set up all new employees and salary changes in the Deltek Costpoint system based on change requests from Human Resources.
  8. Participate in the coordination of new state tax filings.
  9. Conduct and adhere to Side Payroll requirements, and coordinate with ADP on these requests. 

In addition to conducting payroll for the company, the following additional responsibilities will apply:

  1. Conduct journal entries for payroll accrued wages, taxes, 401(k), and other items.
  2. Responsible for leave accrual and leave reconciliation.
  3. Prepare 401(k) file to be submitted to the company's 401(k) provider and submittal of file.
  4. Reconcile medical, dental, and vision reports to payroll records.
  5. Coordinate with Human Resources on worker's compensation matters.
  6. Process time ticket adjustment to posting labor adjustment into the accounting system.
  7. Conduct reviews of the 941 reports from ADP.
  8. Conduct Weekly Timesheet Audits.
  9. Support different financial analysis drills for the Corporate Finance team.
  10. Perform GL and W2 reconciliations.
  11. Ensure compliance with all current applicable payroll laws and regulations to include, but not limited to, federal, state and local municipalities, as well as other government agencies such as DCAA and DCMA.
  12. Provide problem resolution, process improvement, and quality customer service to include professional communication with employees, managers, senior management, etc.

 

Qualifications & Clearance Requirements 

Education, Work Experience, Skills, and Clearance Requirements:  

  1. Associate's degree or higher.
  2. Three (3) years or less of relevant experience.
  3. Microsoft Excel skills to conduct all analysis and reconciliation outside of our accounting system.

Preferred:  

     Accounting or Finance related degree.
